Creating and managing items within the hierarchy

Understanding Hierarchy Items

Hierarchy items provide context within the platform. They restrict create, read, update, and delete permissions for records, ensuring that only users with the appropriate Roles can access them.

Managing Hierarchy Items

Hierarchy items can be created and managed via the User Management screen:

  1. Navigate to the User Management area using the Users menu item.
  2. Select the Hierarchy tab from the user management table to view a list of all hierarchy items in the current tenant.

Creating a New Hierarchy Item

  1. Click the Add New Item button at the bottom of the table.
  2. Fill in the required details for the new item.
  3. Enable or disable permission inheritance:
    • Enabling inheritance allows nodes higher in the hierarchy to access information linked to this node and any of its descendants.
    • Disabling inheritance keeps records linked to this item (and its descendants) confidential, preventing inherited access for users at higher levels in the hierarchy.
  4. Assign groups that should have access to records associated with this hierarchy item and its direct descendants.

Automatic Group Creation and Management

Each time a new hierarchy item is added, the platform automatically creates a group with the same name as the hierarchy item.
This group is kept up to date whenever changes are made to the hierarchy item.

Users can be added to these automatically created groups to grant them access to records associated with the respective hierarchy item and its direct descendants.
Managing group membership is essential for ensuring that users have the appropriate access to relevant records in accordance with the hierarchy structure.

Managing Existing Items

To edit an existing item:

  1. From the list of items, click the navigation icon to the left of the item you want to modify.
  2. Make the necessary changes. All updates are saved automatically.

Using a Hierarchy Item

Access to hierarchy items can only be assigned to groups. Ensure you have the appropriate groups set up in your tenant for proper role assignment. For more details, see our article on Creating and Managing Groups.
