Exporting a Record to Word

Introduction

Exporting a record to a Word document allows you to generate a structured document containing data from a specific record. This is particularly useful for creating reports, contracts, or formal letters that require pre-formatted content populated with system data.

Prerequisites

Before exporting a record, ensure the following:

  • The record you want to export is fully populated with the required data.
  • A Word template has been set up and mapped to the record fields.
  • You have the necessary permissions to download documents.

Exporting a Record to Word

Opening the Record

  1. Navigate to the relevant workflow where the record is stored.
  2. Open the record you wish to export.

Accessing the Export Option

  1. Click the context menu (⋮) in the top-right corner of the record view.
  2. Select "Download Word Document" from the dropdown list.

Generating the Document

  1. The system will automatically merge the record data into the associated Word template.
  2. Depending on the size of the document and the amount of data, this process may take a few moments.

Saving and Reviewing the Document

  1. Once the document is generated, your browser will prompt you to open or save the file.
  2. Choose the appropriate action (e.g., Save to your local drive or Open for immediate review).
  3. Open the document and review the content to ensure that all mapped fields have been correctly populated.

Troubleshooting

“Download Word Document” option is missing

  • Ensure that a Word template has been uploaded and mapped to the record.
  • Verify your permissions with an administrator.

The downloaded document does not contain the correct data

  • Check if the record has all required fields populated before exporting.
  • Confirm that the template mapping is correctly configured by contacting your administrator or Support.

The document does not open after downloading

  • Ensure that you have Microsoft Word or a compatible program installed.
  • Check your browser’s download settings to locate where the file was saved.
