Linking Records to Questions

In SureCloud, Reviewers have the ability to link or create records—such as Findings, Actions, and Exceptions—directly from individual questions within an assessment. This feature is designed to streamline remediation efforts by allowing contextually relevant records to be tied to specific questions.

Who Can Use This Feature?

Only Reviewers with the necessary access permissions to specific records or workflows will be able to:

• Link existing records.

• Create new records from within the questionnaire.

Permissions are determined by the user's role in the platform.

How to Link Records from a Question

Here’s a step-by-step guide for linking existing records to a question:

1. Open the relevant questionnaire and scroll to the question where you'd like to link a record.

2. Click on the Link to records action within the question.

3. In the drawer, click the Link a record button within the right hand panel.

4. A window will appear with tabbed sections for each workflow you have access too (e.g., Findings, Actions, Exceptions). Navigate through tabs to find and select the records you want to link.

5. Once you’ve selected the desired records, confirm your choice to link them. They’ll now appear in the right panel under the current question.

How to Create a New Record from a Question

If no existing record is suitable to link to the question, Reviewers can create a new one directly:

1. Open the relevant questionnaire and scroll to the question where you'd like to link a record.

2. Click on the Link to records action within the question.

3. In the drawer, click the Link a record button within the right hand panel.

4. A window will appear with tabbed sections for each workflow you have access too (e.g., Findings, Actions, Exceptions). Select the workflow type you would like to create.

5. Click on the Create [Workflow] button for the appropriate workflow tab.

6. A new record will open. Fill out the necessary fields to create the record.

7. The newly created record will be automatically linked to the question.

Tips and Reminders

• You can only link records that you have access to.

• You can only create records if your role includes creation permissions for that workflow.

• Always ensure that linked or created records are relevant to the context of the question for accurate traceability.
