The SureCloud platform provides a straightforward way to integrate with Jira, allowing you to create and update Jira tickets directly from your workflows. This guide walks you through the process of linking your Jira account and using the integration effectively.
Step 1: Connecting Your Jira Account
To get started, you'll need to link your Jira account to the SureCloud platform.
How to Connect:
- Ensure you have the 'Administer Jira Global' permission within the Jira platform.
- Go to the Integrations Page in the SureCloud platform.
- Locate the Jira option from the list of available integrations.
- Click Connect and follow the prompts to log in with your Jira credentials.
- Once connected, you’ll see a confirmation message.
Step 2: Creating a Jira Ticket from a Workflow
With the integration in place, you can now create Jira tickets automatically using the 'Create Jira Ticket' action in a workflow.
Setting Up the Action:
- Navigate to the Workflow Setup page.
- Select the workflow transition where you want to add the Jira action.
- Add a new action and choose 'Use an Integration' > 'Jira' > 'Create Jira Ticket'.
- Configure the following fields:
- Project: Select the Jira project the ticket should be created in.
- Ticket Type: Choose the type of Jira issue (e.g., Bug, Task, Story).
- Summary: Provide a short title for the ticket.
- Description: Add more detail about the issue or task.
- Press 'Save Configuration'.
Using Dynamic Fields:
You can use placeholders like #[Name] to reference data from the current record. This helps customize each ticket based on your form inputs.
Step 3: Updating an Existing Jira Ticket
You can also update a previously created Jira ticket using the 'Update Jira Ticket' action.
How to Configure:
- In the same workflow setup page, add a new action and choose 'Use an Integration' > 'Jira' > 'Update Jira Ticket'.
- Specify the details you want to update:
- Update status to: Choose the new status (e.g., In Progress, Closed).
- Assignees: Set who should be assigned to the ticket.
- Press 'Save Configuration'.
This is useful for keeping Jira in sync with actions taken within the SureCloud platform.
Step 4: Triggering the Jira Action from a Record
After setting up either the Create or Update Jira Ticket workflow action, the final step is to trigger it through a transition on a record.
How it Works:
When a user progresses a record using the transition linked to the Jira action, the SureCloud platform will automatically carry out the configured task - either creating a new Jira ticket or updating an existing one.
This allows seamless and automated ticket management, directly from within your workflow process.
Things to Remember
Before using the Jira integration in your workflows, keep the following in mind:
- One 'Create Jira Ticket' Action per Workflow: Each workflow can include only one Create Jira Ticket action. However, you can still create multiple tickets per record by returning the workflow to a point before the ticket creation and progressing through it again.
- Dependency on Ticket Creation: You must set up the Create Jira Ticket action before adding an Update Jira Ticket action. This ensures that there's a ticket available to update.
- Updates Target the Latest Created Ticket: When multiple Jira tickets are created for a single record, the Update Jira Ticket action will apply only to the most recently created ticket.
These rules help keep ticket tracking predictable and ensure updates go to the right place.
